Registration Guidelines

  • REGISTERED DELEGATES
    • Registered delegates will have access to the congress venue, scientific program rooms, poster exhibition area and commercial exhibition area; will also be invited to attend the welcome cocktail on Sep 5, the networking afternoon excursions and (with the payment of a small charge) the networking evening on Sep 7; lunch boxes, coffee-break refreshments will be provided free of charge from Sep 5 to Sep 8, and also drinks and appetizers during the attended poster session on Sep 6.
    • Registered accompanying persons are invited to the welcome cocktail on Sep 5, networking excursions and (with the payment of a small charge) networking evening on Sep 7;
    • Sponsors will be granted with a number of free registrations (number depending on the sponsorship), and could buy additional sponsor passes. Sponsor passes allow the access to the commercial exhibition area and business suites, welcome cocktail and lunch/coffee-break refreshments (no access to the scientific program rooms and poster exhibition area).
    • Day registration will be available and will grant access to the congress venue, including scientific and social activities, in a specific day.
  • REGISTRATION SYSTEM
    • To register, you must complete the registration form with your personal information, and establish a username (your email address) and your personal password. To access again the system, your e-mail and password will be required.
    • Make sure that the e-mail address provided on the form is correct, as it will be used for all communications with you.
    • Every participant will receive an e-mail confirming that the form is completed correctly. As soon as our system confirms the payment, the participant will receive another e-mail, up to 5 days after the payment, with the confirmation of the registration.
    • Registration only will be completed after confirmation of the payment.
  • REGISTRATION FEES
    • Discounts are provided for early registration (super early bird, early bird). However, you have two other deadlines to complete your registration (regular and on-site).
    • Discounts are also provided for members of organizing and partner societies (review the list of societies to check if you are entitled to such discount). If you apply for this discount, the society you indicated will review the application and confirm your membership status and check if you are updated with the society fees. If the society does not approve your qualification we will need to charge the difference considering the non-member fee.
    • Discounts are also provided for students/trainees (including post-docs) who were born after Sep 4, 1981 (age of less than 36 years during the meeting). If you apply for this discount, to get your badge you will need to present a proof of your student/trainee status and your identity card/passport to confirm the birth date.
    • Discounts are also provided for delegates who come from low and lower-middle income countries. Please review the list of such countries at our website to check if you are entitled to this discount. A proof of residence in the specific country will need to be presented at the secretary on your arrival to the congress.
    • Payment in up to 3 installments for super early bird registration (deadline May 5) Payment in up to 2 installments for early bird registration (deadline July 5) – Limited to credit cards which allows payment in installments.
  • OPTIONAL FEES
    • (due to compliance reasons, we cannot include social events in the registration fee, but we strongly encourage the delegates to subscribe to these activities)
    • The Networking Afternoon Excursions are optional, with a fee charged according to the category (1, 2 or 3); please check the options at the website and choose the one you like more.
    • The Networking Evening is optional, with a fee charged; it will be the top ICIEM social event, we encourage all delegates to subscribe this option.
  • PAYMENT
    • The payment of the registration fee should be made at the website with credit card or Banking billet (Only for Brazilians - will be available soon).
    • If your credit card allows, super early bird registration fee could be paid in up to 3 installments if you prefer, and early bird registration fee in up to 2 installments.
    • Due to the local bank fees, taxes and administration fee for receiving wire transfer an additional amount of 100.00 BRL will be charged in the invoice. If you want to avoid this additional amount, please consider paying your registration fee and accommodation through credit card.
  • CANCELLATION AND REIMBURSEMENTS
    • Cancellations should be requested by the e-mail registrationbrasil@mci-group.com until August 15th, 2017. Note that 70% of the amount paid will be reimbursed, and 30% retained for administrative fees. After this date, there will be no refunds. The reimbursements will be made up to 30 days after the end of the ICIEM 2017 Congress.
  • REPLACEMENT OF PARTICIPANT
    • Replacement of participant should be requested by the e-mail registrationbrasil@mci-group.com until August 15th, 2017. After this date, there will be no replacements.
